Accounts Payables >> Area: Invoice Automation

Enable Posting before Approval of an invoice

  • Use Case: To ensure timely posting to the general ledger before period close, so that invoices don’t need to be accrued. 
  • Update: Users may choose to post invoices before the approval workflow is completed. This allows for faster financial reporting while still allowing the approval process to continue in parallel.

Note: This enhancement needs to be enabled at a client level, and removes the control that all invoices must be approved before posting.

 

Minimizing Clicks in the Invoice Summary

  • Use Case: Users want to reduce redundant clicks and streamline the invoice review process to save time.
  • Update: Centime now supports a more efficient invoice summary experience by:
    • Automatically expanding line item accordions, Removing the pop-up when changing item type and Setting pagination to 50 lines by default.

Note: This enhancement needs to be enabled at a client level.

 

Track Invoice Activity: See Who Opened and When

  • Use Case: Users lacked visibility into whether an invoice had been viewed, even when it was in an advanced status.
  • Update: Centime now displays two new columns:
    • Last Opened By: Shows if an invoice has been viewed and by who.
    • Last Opened At:  Shows the exact timestamp of the last view

Visibility of Document Approvers in the Payments Workflow

  • Use Case: Payment approvers and processors need visibility into invoice approvers during the payments process.
  • Update: The Unpaid and Paid tabs now include a Document Approver column, displaying all approvers associated with each invoice.

Customer Portal: Paid invoice visibility 

Use Case: Enhance visibility and accuracy within the Customer Portal to reduce unnecessary back-and-forth communication between our clients and their customers.

Updates

  • View $0.00 Invoices in the Customer Portal: Customers can now view $0.00 invoices (e.g., deposit-applied orders) directly in the portal. This provides complete account transparency. Especially useful for clients whose customers often pay invoices from a deposit.
  • Expanded Visibility into Paid Invoices: Customers can view up to 1,000 recently paid invoices, previously limited to three months of history. This supports clients who invoice less frequently, as well as larger clients who want to offer a more comprehensive account view.

Secure Autopay Link Validation

  • Use Case: Protect against unauthorized users submitting autopay details via the public form.
  • Update: Autopay links now include email domain validation, ensuring only verified customer contact domains can enable autopay. This adds an important layer of security and prevents unauthorized or mistaken submissions.

Early Pay Discounts

  • Use Case: Ensure accuracy in early pay discount calculations. Currently, discounts are pulled from the customer-level setting, which can lead to inconsistencies.
  • Update: We are now prioritizing the invoice-level early pay discount setting for more precise and flexible discount calculations.

Automation Enhancements: Invoice Communication Customization 

  • Use Case: Enable users to customize communications based on specific invoice types, rather than applying the same messaging at the customer level. For example, users can differentiate communication for ad hoc services versus recurring subscriptions.
  • Update: Collectors can now schedule events to trigger before an invoice is due, enabling tailored outreach strategies.

Monthly Statement Enhancements: Future-Dated Invoices

  • Use Case: Some customers generate all invoices for the year or for a contract period in advance. Currently, Centime displays these future-dated invoices in both monthly statements and the Customer Portal, which can create confusion.
  • Update: Centime will now exclude all future-dated invoices from monthly statements and the Customer Portal to present a clearer and more accurate view.

Monthly Statement Enhancements: Customer Hierarchy

  • Use Case: When using customer hierarchy, Centime allows users to define responsibility for payment across parent, child and project entities. However, this setting is currently not reflected in monthly statements, leading to incomplete summaries.
  • Update: Monthly statements will now respect the "bill to" setting for all invoices, ensuring the statement accurately reflects all invoices a contact is responsible for.

This change does not affect ad hoc statements. Users will continue to have full control over which entities to include, preserving flexibility in custom communications.
