Creating and Managing Automations in Centime

Learn how to create and manage automations in Centime to automate communications, assign tasks, and streamline collections workflows.

    ⚙️ Overview: Automation Structure

    Automations in Centime consist of three key elements:

    • Event: The trigger that starts the automation 

    • Conditions (optional): Additional filters that must be met

    • Action: The resulting task, email, or internal alert 

    The event will trigger the action only when all conditions are satisfied.

    🔔 Events

    • Each automation must have exactly one event.

    • Events are based on either Invoice-level or Customer-level elements.

    🎯 Conditions

    • Conditions narrow when actions are triggered.

    • You can create automations with or without conditions.

    • Limits:

      • Max 10 conditions per automation

      • Invoice-level Events: Allow both invoice and customer conditions

      • Customer-level Events: Allow only customer conditions

    ✅ Actions

    Automations can trigger:

    • Customer Emails (up to 15 recipients)

    • Internal Emails (up to 15 users)

    • Tasks (using default or custom tasks)

    Limits:

    • Max 5 actions per automation

    • Invoice-level events must trigger invoice-level actions; customer-level events must trigger customer-level actions.

    Hierarchy Note: For child customers, bill-to contacts will receive communications as usual.

    🧱 Building Automations: Elements and Directions

    Both Events and Conditions use the following structure:

    Elements

    Customer Elements:

    • Outstanding, Overdue, Overdue %

    • Consolidated Outstanding/Overdue (includes hierarchy billing structures)

    • Custom and standard fields (List and Text types)

    Invoice Elements:

    • Days past due, Invoice status

    • Custom and standard fields (List and Text types)

    Directions

    For Events:

    • Numerical: Days after, Days before 

    • Field: Changes to any of, Changes to none of

    For Conditions:

    • Numerical: More than or equal to, Lower than

    • Field: In list, Not in list

    📌 Example Automation

    Goal: Stella wants to call customers when an invoice of at least $1,000 is 30+ days overdue.

    • Event: Invoice is more than 30 days overdue

    • Condition: Invoice amount is greater than $1,000

    • Action: Assign a task to Stella

    • 🔁 Copy Automations and Workflows for easier configuration

    • 🕘 History Tracking: Automation-triggered emails and tasks are recorded in customer/invoice history

    • 🗑️ Manage Automations: Create, update, and delete automations directly from the Automations tab (not editable from workflows)

    🔗 Enabling Automations in Workflows

    Navigation: Settings > Receivables > Workflows > Customer Segment Workflows

    • Under the Automation section, select automations to add to a workflow.

    • Automations can be added to any campaign type (Invoice-Level, Customer-Level, or None).

    • Up to 100 automations can be added per workflow.
