How to add users to Centime

How to add your team members to Centime and configure their profile which defines their access levels.

User Types

There are two types of users in Centime:

  1. Full-access allows administrators to customize the permissions for the invited user profiles
    • Users can modify access to any solution and the permissions within each solution
    • Users are charged for every incremental full-access user
    • Users can refer to the Centime invoice for the additional user charge or can reach out to the Centime Customer Success team for clarity.
  2. Limited-access is a role-based permission type with predefined access and responsibilities that are not configurable
    • The role available under limited access are Payment approvers, Invoice approvers, PO Invoice approvers and CS-Representative.
    • Users are not charged for adding new Limited Access users
    • An existing Centime user cannot be a Limited access user
    • Modifying the permissions of a Limited access user upgrades them to a full-access user and therefore charged as a full-access user
    • Invoice approvers and PO invoice approvers can view invoices where they were approvers or added as approvers. These invoices can be tracked in the Unpaid tab and Paid tab.

Users can add their team members to Centime and can also set permissions for the invited users' profile that defines their access.

Add a Full-access user

To add a user, navigate to Settings > Company Profile > Users. This leads directly to the Full access tab. Click on the 'Add user' button.

Add the first name, last name, and email address of the user. Click 'Save.'

Once the user has been invited, their profile is created. The admin user can define their permissions by clicking on the 'Define' button next to their profile.

Users can define permissions by selecting permissions in the permission wizard as shown:

 

Instead of using the permissions wizard, users can go directly to the permissions page to individually enable and set permissions for each solution. Alternatively, they can replicate the permissions from an existing user.

 

Add a limited-access user

To add a Limited-access user, navigate to the Limited access tab within the Users section and select 'Add user'. Input the user's first name, last name, and email, then assign a role to their profile.

  • Invoice Approver allows the user to approve, hold, or reject invoices during the Invoice Automation process
  • PO Invoice approver has the permissions of an invoice approver as well as all PO mismatch related entitlements.
  • Payment Approver allows the user to approve or reject payments during the Payment Automation process
  • CS Representative is a user typically used by our team to help configure your Centime environment during onboarding

Once the user is saved, they will get a signup email inviting them to join the team. They must verify their account before they can take any action on invoices or payments.
