Managing Customer and Invoice-Level Documents

Centime makes it easy to upload, organize, and manage documents at the customer and invoice level—supporting better visibility, documentation, and collaboration throughout the AR process.

📌 Required Permissions:

  • Customer-Level Documents: Requires Manage Customer Profiles, Preferences, and View History permission.

  • Invoice-Level Documents: Accessible with any AR permission.

  • Central Repository Access: Requires Manage Documents and Document Types permission.

🧾 Document Upload Overview

Documents can be uploaded at three levels:

  • Account

  • Customer

  • Invoice

📌 Upload limits:

  • Up to 10 documents per customer

  • Up to 5 documents per invoice

Users can view, update, or delete uploaded documents as needed.

🏷️ Defining Document Types

Centime allows you to define custom document types to categorize and manage uploaded files.

🔍 Navigation: Settings > Company Profile > Document Type

By default, Centime includes two document types:

  • Invoices

  • Other

To add more:

  1. Click Add Document Type

  2. Name the new type and select Accounts Receivable
    (Note: Document types for Accounts Payable will be supported in a future release.)

📎 File Size Limit: Each document must be 10MB or less.

📤 Uploading Documents

AR collectors have two ways to upload documents:

  1. Customer Side Panel – Upload documents directly at the customer level.

  2. Invoice Side Panel – Add documents with metadata including:

    • Document Name

    • Document Type

    • Visibility Settings

👁️ Visibility Settings

  • Internal: Only visible within Centime’s AR interface.

  • Shared (Coming Soon): Documents will also be visible to customers via the customer portal.

AR Collectors Can:

  • View all documents, regardless of visibility.

  • Navigate via: Receivables > Customer or Invoice side panel

📚 Central Repository

Provides a comprehensive, centralized view of all customer- and invoice-related documents.

🔍 Navigation: Settings > Company Profile > Documents

📌 Note: Documents do not appear in the KPI or Cashflow side panels.

  • View All Documents: Across customers and invoices

  • Filter: By company, customer, or invoice

Repository Columns

  • Solution: Type of solution the document is related to

  • Name: Document name

  • Type: Document type (e.g., invoice, receipt)

  • Visibility: Internal or shared

  • Relates To: Associated customer or invoice

  • Uploaded By: The AR collector responsible

  • Action: View or download
